If the answer needs a phone call, it is not a system.

That is the test this hub keeps returning to. A business runs on systems when the information a decision needs arrives before the decision has to be made — not when someone remembers to send it, and not when the owner asks twice.

Most growing businesses have rules, not systems. "Check the material before use" is a rule. An SOP names the trigger, the owner, the steps, the decision rule, the output and the exception. The difference sounds pedantic until a new hire has to do the job, or the person who always did it is unavailable for a week.

Visibility comes before control, and control comes before scale. A business that cannot see what happened yesterday cannot be trusted to predict next month, however good its intentions or however expensive its system.
